Quarterly Data Collection (QDC) Report

QDC stands for Quarterly Data Collection and the QDC Report was one of the initial Reports built in SupportAbility to assist Providers to manage their reporting requirements, pre-NDIS. 

Originally designed for block-funded Services to inform the various Government Departments how many hours of Service were delivered, this report therefore will not yield any NDIS related results. Under the NDIS, this information is communicated to the Agency using the Bulk Payment Request (BPR) functionality.

The Quarterly Data Collection (QDC) Report is a useful tool to assist providers with gathering information on the hours of Client participation in Activities i.e. Activity Duration hours. The results include Activities that have the Activity Sign Off completed and are funded by non-NDIS Funding Types. 

Some of our providers use SupportAbility to capture Client information for Aged Care Clients and this report assists them greatly.

Prior Configuration

Some prior configuration may be required in order for the QDC Report to generate the required information for your organisation. 

There are three different options for the type of QDC Codes on which the QDC Report is based. The default setting is set to 'Funding Types', however, additional options, i.e. 'Service Types' and 'Programs' are also available, and can be configured as required.

QDC Codes will also need to be set for each of the relevant Funding types, Services, and Programs if your organisation requires this information to populate in the Report results.

More information on how to configure these settings is outlined below.

N.B. Staff require the 'Edit System Preferences' Staff Account Privilege in order to access System Preferences and configure these settings.

N.B. The 'Setting up for Quarterly Data Collection (QDC)' video in the Learning Centre displays the old functionality for the configuration of this Report.  The 'QDC Setup' tab referred to in the video is no longer available.  This configuration is now completed on the 'Settings', 'Funding', 'Services' and 'Lists' tab in System Preferences as outlined in this article.

QDC Codes

The QDC Report includes a column entitled '... QDC Code' which displays the relevant information based on the type of 'Code' the Report is configured to report on, i.e. Funding, Service, or Program. 

You will note in the image below that QDC Reports have been set to be based on 'Service' codes evidenced by the title of this column ' Service QDC Code':

N.B. A code will only display in the Report results if one of the DSD, HACC or PDRSS codes has been configured for the relevant Funding, Service or Program, relative to the type of QDC Code that the Report has been configured to base the results on.

Setting a QDC Code for Services

To set the 'QDC Code' for each of the relevant Services e.g. Therapeutic Support, navigate to the 'Services' tab in System Preferences, and select the required code from the list of options in the 'QDC' field for each Service e.g. 'DSD - 17042: Therapy':

 Once this configuration has been completed, if the QDC Report is set to base the 'QDC Codes' on 'Service' type, this code will display in the Report for the relevant list results:

Setting a QDC Code for non-NDIS Funding types

To set the 'QDC Code' for a non-NDIS Funding type e.g. DHHS, navigate to the 'Funding' tab in System Preferences, and select the relevant code from the list of options in the 'QDC Code' field for each Funding type e.g. 'DSD - 17042: Therapy':

Setting a QDC Code for Programs

If an organisation is using the Program functionality and has opted to base the QDC Report on Programs, the corresponding QDC Codes may be set as the default for each of the relevant Programs in the 'Activity: Progams' List on the 'Lists' tab in 'System Preferences':

How to generate the QDC Report

The Quarterly Data Collection (QDC) Report can be located in the Data Collection subsection of the Activities section in the Reports menu:

From here, you can select the Date range e.g. the 1st Jan 2021 to 31st March 2021, and the Service/s you wish to report on e.g. Accommodation, Day Services, In Home Support and Therapeutic Support: 

Scrolling down you'll see more criteria, for example, Funding Types. We recommend leaving this blank so that it picks up all Activities. Site/s may be selected, along with reviewing the results in Detailed or Summary format. 

We recommend selecting Summary mode and Activity Duration for the 'Report Hours to Display' criteria. Clients marked as Absent and/or No Charge can be included by updating the selection to 'Yes' if required. Most providers choose to leave this set to 'No' so that Absent Clients are not included in this report:

Select 'Run QDC Report' to generate the results.

QDC Report Results List

The onscreen results summarise the total number of 'Hours' (Activity Duration) for each Client and lists separately the total number of 'Hours' for each Service the Client participated in during the selected period:

QDC Report Export

The Report results may be downloaded into a CSV file by selecting 'Download QDC Report' from the 'Actions' menu: 

The file contains all of the information displayed onscreen, however, the Client's name is separated into two columns i.e. First and Last Name in the export:

Once generated, the file can be manipulated, sorted or filtered as required to provide the required information for reporting to the relevant Government bodies e.g. DHHS.
