Activity Change Log

The Change Log provides a record of who has made what changes to an Activity record and when.This article explains what the Change Log is, where to find it, what it currently records, and what is coming soon.

It is important to clarify that the Change Log captures changes made from the point this feature was introduced in SupportAbility v9.12 (June 2026) onwards. 

It does not include historical creations or edits made prior to this, so Activities created before v9.12 will not show a creation entry; only changes made from v9.12 onwards will appear.

Privileges:

The privileges required to manage Activities are needed in order to view the Change Log. Generally speaking, the Team Leader privilege is required, however there are instances where this is not required based on how this has been configured by your organisation.

What is the Change Log?

The Change Log is a new tab on the Activity record that displays a history of user actions taken on that Activity. It records who completed each action, when it was completed (date and timestamp), and a user-friendly description of what changed.

Actions are listed from the most recent at the top, through to the oldest, with the Activity's creation appearing at the bottom of the list. Where there is a large history, the list is paginated.

The Change Log is read-only. It does not change how you work in an Activity, it simply provides visibility of the actions that have already taken place.

Where to find the Change Log

A new Change Log tab is available on the Activity record in the Web App, alongside the existing tabs:

Staff with the privileges required to manage Activities will see the tab. Selecting it displays the list of recorded actions in a paginated table with the following columns:

  • Date - the date and timestamp of the action
  • Changed By - the Staff Member who completed the action
  • Action / Description - a user-friendly explanation of what was done

What the Change Log records

The Change Log records a separate entry for each specific change made to the Activity, rather than a single generic 'Activity updated' line. Each entry shows who made the change, when, and what changed, including the before and after values where relevant.

The following actions are currently recorded:

Activity details

  • Site changed
  • Service changed
  • Start date and time changed
  • End date and time changed
  • Activity name changed
  • Location changed
  • Program changed
  • Notes updated

Participants

  • Participant added
  • Participant removed
  • Marked present or absent

Funding and allocations (per participant)

  • Funding Source changed (from and to)
  • Marked as No Charge or chargeable
  • NDIS Support Allocation added
  • NDIS Support Allocation removed

Sign Off

  • Activity Sign Off performed or removed

N.B. The Activity record has a very large number of possible actions, so this first release focuses on the changes above. Further actions may be added over time. The Change Log only captures actions from the point this feature was released onwards, so actions taken on an Activity prior to the release will not appear in the log.

Coming soon

The Change Log is a starting point and will be expanded over time. Planned enhancements include:

  • More actions captured - extending the log to cover further changes that are not yet recorded, including:
    • Replication-driven changes - where a change flows into an Activity from elsewhere in a set, so you can see when an Activity was updated as a result of editing another Activity, and who triggered it. This also covers changes to the replication settings themselves (Settings, Clients, Staff and Exclude This Activity)
    • Staff shift changes - such as Staff added or removed, To Be Filled shifts filled, shift times customised or reverted, Includes Break or Not Paid toggled, Staff Shift Sign Off, and Company or Private Kilometres changes
    • Activity Tags - when Tags are added or removed
